Choose the right source for each type of information
Start with your customers’ ten most frequent questions, in Questions and Answers. Then upload the documents your team consults to answer customers. Finally, sync the website pages that are worth it.
Write for the AI, not for the customer
- One question, one answer. One pair per question. “What’s the delivery time to the South?” works better than a generic question about deliveries.
- Answer with the fact, not the promise. “We deliver within 5 business days to the South and Southeast” instead of “we deliver fast”.
- Write the question the way the customer writes it. With the words they use, misspellings included.
- Avoid contradictions between sources. If the PDF says one deadline and the Q&A says another, the AI might pick either one. Update both.
- One document per topic. An 80-page catalog with everything crammed in is harder to consult than four smaller documents.
Public or private
Every source has an audience. Conhecimento Público (Public knowledge) is what Tino uses when talking to a customer. Conhecimento Privado (Private knowledge) is what only Sotto uses, to support the agent. Internal information, like margins, negotiation scripts, or guidance for the team, stays private.The public knowledge option is part of the plans that include Tino. On Essential, every source is available to Sotto.
Websites: map first, index what matters
Mapping a website’s pages doesn’t cost credits. Indexing does. When syncing a website, map it, look at the list of pages, and select only the ones that answer customer questions. A store doesn’t need to index its recruitment page. Above fifty pages at once, the screen asks for confirmation: indexing takes longer and consumes more credits. When the website changes, use Adicionar páginas (Add pages) on the already-indexed website, or Reindexar (Re-index) to replace the old content.Check whether the AI understood
After indexing, the list shows the Tino aprendeu (Tino learned) card with a summary of what the AI extracted and the Testar conhecimentos adquiridos (Test what it learned) button. Use it: ask what a customer would ask and check whether the answer comes back right. See Test what the AI learned. Tino also generates Descobertas (Discoveries) from the sources: suggested guidelines, clarifications, and process candidates. Review them before accepting. - When a price, deadline, or policy changes, update the source the same day. The AI doesn’t know what hasn’t been updated.
- Delete what has expired. An old promotion left in the base becomes a broken promise.
- For anything temporary, use Contexto Situacional (Situational Context) instead of a source: it has an expiration date and disappears on its own. See Provide temporary context.
